Charity software is any tool built to help a charity do its core jobs: collect donations, record who gave, claim Gift Aid, and report on what came in. For most small UK charities, the most useful piece is a donation platform. It gives you a donation page, takes payments safely, and keeps the records HMRC and your trustees need. This guide explains the main types, when you need them, and how to pick one without a long project.

What counts as charity software?

The phrase covers a lot. Here are the categories you will meet most often:

  • Donation platforms. A hosted donation page, card and digital-wallet payments, receipts, and a dashboard of who gave. Kayana Aid sits here.
  • Donor databases (CRMs). A record of every supporter, their history, and their consent. Useful once you have hundreds of contacts to manage.
  • Accounting software. Bookkeeping, fund accounting, and year-end accounts. Your treasurer probably already has a view on this.
  • Event and ticketing tools. Selling places for quizzes, dinners, and runs.
  • Gift Aid tools. Preparing the claim schedule in the format HMRC expects.

Small charities rarely need all five. Most start with a donation platform, because it solves the most urgent problem: making it easy for someone to give right now.

Do you actually need charity software?

Ask three questions.

  1. Can someone give to you online in under a minute? If the answer is “email the treasurer for bank details”, you are losing gifts.
  2. Can you claim Gift Aid without a weekend of admin? If declarations live on paper or in an inbox, the claim gets delayed or skipped.
  3. Can a trustee see this month’s donations without asking? If not, reporting is harder than it should be.

If you answered no to any of these, software will pay for itself in time saved. If you answered yes to all three, you may be fine for now.

Charity software vs spreadsheets

Spreadsheets are free, familiar, and flexible. For a charity with a dozen gifts a year, they are perfectly reasonable. The problems start when:

  • Donor details and card payments arrive from different places and have to be matched by hand.
  • Someone has to remember the Gift Aid declaration wording, and whether each donor is a UK taxpayer.
  • Two people edit the same file and the “master” copy stops being the master.
  • A trustee asks for a report and the answer is “give me until Thursday”.

A donation platform records the gift, the donor, and the Gift Aid declaration at the same moment, so there is nothing to match later. You can still export a CSV to your spreadsheet whenever you like. The spreadsheet becomes a report, not a system.

Charity software vs a generic website builder

Website builders are good at websites. They are less good at donations. Common gaps:

  • Gift Aid. Most generic payment buttons do not capture a valid Gift Aid declaration, so you cannot claim the extra 25p in the pound. HMRC sets out what a declaration must contain on GOV.UK.
  • Recurring giving. Monthly gifts need proper handling of failed cards, cancellations, and receipts.
  • Donor records. A payment notification email is not a donor record.
  • Trust signals. Supporters want to see your charity number, a clear total, and a secure checkout.

You can keep your existing website. A donation platform gives you a page or an embeddable button you link to from your site, your emails, and your socials. We cover how to do that in How to set up a donation page.

How Kayana Aid fits

Kayana Aid is a donation platform made for charities. The idea is simple: set up your donation page in minutes and start collecting today. In practice that means:

  • A hosted donation page, campaign pages, and event pages, with no monthly platform fee on the free plan.
  • One-off and recurring donations through established payment partners.
  • Gift Aid declarations captured at checkout and stored with each donation. Kayana prepares your Gift Aid claim. You review it and submit it to HMRC from Reports → Gift Aid.
  • Donor receipts, a real-time dashboard, and CSV exports for your treasurer.
  • Shareable links and QR codes, plus contactless and kiosk giving if you collect in person.

Fees are per donation and listed openly on the pricing page. There is no setup fee and no long contract.

How to choose: a short checklist

Use this when you compare any tools, including ours.

  • Gift Aid built in. Does it capture a compliant declaration and give you an HMRC-ready schedule? Read Gift Aid explained for small charities if you want the background.
  • Clear fees. Can you see every fee before you sign up? Are donor tips optional, and easy to change or set to zero?
  • Payment safety. Are card details handled by PCI DSS compliant providers rather than stored by the platform?
  • Payouts to your bank. Does money go to your charity’s own account, on a schedule you understand?
  • Exports. Can you get your data out as CSV at any time?
  • Set-up time. Can a volunteer do it in an afternoon, without a developer?
  • Support. Is there a help centre and a person to talk to?

If a tool is weak on Gift Aid or hides its fees, keep looking.

Getting started without a big project

You do not need to migrate everything on day one. A sensible first month looks like this:

  1. Register and verify your charity on the platform.
  2. Create one donation page with a clear ask and your charity number.
  3. Add the link to your website, email signature, and social bios.
  4. After the first few gifts, download the CSV and check it against your bank.
  5. Prepare your first Gift Aid claim from the report and submit it to HMRC.

That is enough to learn whether the tool fits before you add campaigns or events.

FAQ

Is charity software free?

Some platforms, including Kayana Aid, have no monthly fee and charge a small amount per donation. Others charge a subscription. Always check the full fee list before you commit.

Do I need a CRM as well as a donation platform?

Not at first. A donation platform records every donor and gift. Add a CRM when you need to manage relationships, segments, and consent across thousands of contacts.

Will charity software submit Gift Aid to HMRC for me?

Kayana Aid prepares the claim data in HMRC’s schedule format. Your charity reviews it and submits it through HMRC Charities Online. Some tools offer direct filing; check what is included and who is responsible for accuracy.

Can I keep my current website?

Yes. Link to your donation page or embed a donate button. You do not need to rebuild anything.

Next step

If you want to see what a donation page looks like before you decide, set one up. It takes minutes, and you can switch it off at any time.
